My Process
Step 1: New Design Project Inquiry or Schedule Consultation-Only
Fill out the New Project Inquiry Form
If you are interested in working with EARTHeim on your landscaping project, you may reach out to me by email, or fill out the New Project Inquiry Form.
I will reach back out to you about your project and from there we can schedule a phone call to discuss your project further. I will try and give you a reference or advice for your project if we are not available or if your project is a better fit for another type of company.
15 Minute Phone Consultation
Once you initially reach out to me I will reach out to you to schedule a free 15 minute phone consultation so I can learn more about your project and you may ask any questions about my process. From here we can schedule the on site Landscape Consultation.
Landscape Consultation Only
If you are looking to schedule a Consultation Only, send me an email me and I will reach out to you to schedule.

Step 2: Design Consultation & Proposal
Consultation Questionairre
Before we meet for the On-Site Landscape Consultation I will send you the Consultation Questionairre to help guide your priorities. The more information I have about your landscaping needs in the beginning, the better I’m able to brainstorm about a garden you’re going to love.
On-Site Landscape Consultation
We will meet at your location and we can walk through your property to discuss your needs, identify challenges and opportunities, consider a design direction and strategy, and provide resources to help you move foward with your landscape project. During the consultation we will form a scope of work.
After the consultation I will send you a Landscape Design Proposal that will outline the scope of work and a design quote.
Consultation Only: The consultation may be a stand-alone service if you are only looking for ideas for your project as a DIYer. Clients have found that the consultation alone is a great value to help them on their landscaping adventure.
What’s Included & Consultation Fee
The consultation usually lasts 45-75 minutes. The consultation includes a written summary that will be typed and sent to you after the consultation.
The consultation fee is $250. The fee includes travel within Lexington Urban Service Area. The consultation takes into account an average of 4-6 hours of work per consultation. The consultation is the beginning step to creating your landscape design. It is a seperate fee, and can be thought of as an initial deposit toward an EARTHeim design!
Travel Fee Outside of Lexington Urban Service Area:
- Lexington Rural Service Area, Nicholasville, Versailles, Midway $300
- Paris, Winchester, Georgetown, Richmond, Lawrenceburg $350
- Harrodsburg, Frankfort, Berea: $400
- Other locations considered for special projects. Please contact me.
Garden Coaching
Some DIY customers would like advice beyond the consultation. I’m available for additional consultations as you work through your landscaping project. The rate is $100/hr and there is a 1.5 hour minimum. Addtional time is charged by the half hour. The customer will take their own notes.

Step 3: Design Process
Landscape Design Proposal
When the Design Proposal is accepted, I will put you on my design schedule once I’ve received a signed contract and a 50% deposit for the design fee. I do not hold space for design projects, but work on them in the order in which I receive signed contracts and deposits. See my Pricing page for more information about the cost of designs and the typical size of projects we work on.
Site Survey and Preliminary Design
In this important phase, I build upon the information given to me during the consultation. This consists of research, looking through ideabooks, and list writing.
I will come back to the site to take measurments and do a site analysis. From here, I will create a base plan of the existing landscape using computer aided drafting software.
Back at my desk, I will begin forming layouts for the garden and think about plant choices/other features.
We may schedule an optional Preliminary Meeting to review my ideas at this point to make sure the initial thoughts are on track. This is necessary for larger or more ambiguous projects.
Conceptual Ideas and Drawings
In the concept phase, I work on developing the preliminary concepts outlined above. I utlimately choose the best layout, and then create the plant palette. Once I’ve completed the conceptual ideas, the remaining 50% balance will be due before we host an online meeting to review the design plan.
Online Meeting
During our meeting, I will show you my ideas and I will receive your feedback. From here, I can make minor adjustments and then create the final plan.
Landscape Design Plan Package: Drawings and Documents
In this phase, I will flush out the final details of the design plan. Once the final plan is created, I put together the Design Package. The Design Package usually includes a scaled design plan with planting list, a series of plant information sheets, and garden care booklet.
Final Client Meeting & Design Package Delivery
In this meeting I will go over the design documents and answer questions the client may have about the design. The client receives the Design Package in printed and digital forms.
Optional EARTHeim Installation Proposal or Installation Garden Coaching Meeting
If the client wishes for us to the installation, I will provide information about material options and put together a quote for the installation. The quote may be provided during the final design meeting, or post meeting depending on the nature of the design/scheduling at the time.
If you have specific questions about installaing the garden as a DIYer or with your own contractor, we can schedule a viritual garden coaching session where I can outline the installation process, methods, materials, etc. based on your chosen installation route. This is especially helpful for homeowners who have not tackled landscaping projects before, or have more involved landscape features like hardscapes, pergolas, ponds, etc.

Step 4: Installation
